Q 1. Write a details note on selection why it called negative process. 

Ans :-  Selection is the process of choosing the most suitable candidates out of the several candidates available.

         Selection is a negative process because there may be more rejected then those selected in most of the candidates that is called selection is a negative process.


Selection process has the following steps:- 

[A.] Screening of applicants - Based on the screening of applicants only those candidates. It Called further process of selection. Who are found eligible for the job Standards of the the organization.

[B.] Selection Test:- Selection test normally Supplement the information provided the applicants forms by giving information about altitude, interest, personality etc. the for the candidates which cannot be known by applicants farm.

[C.] Interview text :- The basic objective is to be find out several suitability of Candidates for the jobs.

[D.] Physical Exam:- Physical exam is carried out of assessing the physical standards and fitness of prospective employees.

 [E.] Approved by Authority:- Organization may be designate the various authorities for approval of final selection of candidates for different Categories of candidates. 

This is all using selection important method and why is called negative process.


Q 2. Write a details note on 'span of control' .

Ans:- Span of control:- Span of control also refers to Span of Management, In this case how many employees can manage efficiently and effectively manage or the number of persons who are directly responsible to the executive is called the span of control.

It is an established fact that larger the number of  subordinates reporting directly to the executive, the more difficult it tends to be for him to supervise and coordinate them effectively. This important principle of management should also be kept in mind.


Types of span of control:

The span of control can be of two types i.e. wide span of control and narrow span of contol.

1. Wide span of control:- Wide span of control means a manager can supervise and control effectively a large number of persons at a time. It is because shorter span of control leads to rise in number of steps or levels in vertical chain of command which leads to tall organization. 

Wide span of control has features as it leads to maximized communication; better supervision; better co-ordination; suitable for routine and easy jobs; prompt response from employees; less overhead cost of supervision and greater ability to respond to environmental changes.

These are results in an organization that has relatively few levels or steps of management which can be termed as flat or horizontal organization, So this helps in improving communication from the top bottom with saving cost.


2. Narrow span of control:- When the work and authority is divided amongst many subordinates and a manager supervises and controls a small group of people, then narrow span of control exists. It adds more layers or levels of management and so leads to tall organization. 

Main features of narrow span of control are as specialization work can be achieved; work which is complex and requires tight control and supervision, there narrow span of control is helpful; messages can be distorted; co-ordination is difficult to achieve; communication gaps can come; more overhead cost of supervision and no quick response to environmental changes.

When the span of control is narrow then the structure of the organization is tall and there may be ineffective, inaccurate and incomplete communication which could lead to decreased morale, increased executive payroll and red-tapish.


Q 3. Planning is an essential process, do you agree ? Discuss 

Definition of Planning : Planning is the most important fundamentals of management, Planning is the process of deciding in advance what is to be done, who is to do it, how it is to be done and when it is to be done. It is the process of determining a course of action, So as to achieve the desired results. It helps to bridge the gap from where we are, to where we want to go. It makes it possible for things to occur which would not other wise happen.


Planning is an essential process, I'm agree because which embraces a number of steps to be taken. It is an intellectual exercise and a conscious determination of courses of action. Therefore, it requires a serious thought on numerous factors necessary to be considered in making planning.

For example, planning process for a large organization may not be the same as for a small organization. 

~~The steps generally involved in planning are as follows :


1. Establishing Verifiable Goals or Set of Goals to be Achieved :

        So, at last we can say that planning is a essential process in management system, I'm agree.


Question 4. Write a note on Management Function.

Ans:- Management is process of getting things done with the aim of achieving goals efficiently and effectively.

The managerial functions are planning organizing, staffing, directing and Controlling.

 However, we have discuss below each of them in brief.

[1] Planning :- Planning is the first and most important function of management. It is deciding in advance, what to do. do it. how to do it, when to do it. So "A planning is a future course of action to be followed for achieving the organizational objective". 


 

[2] Organizing: - Organizing is the process of dividing work into section and departments.

                             Organizing involves the allocation of authority, responsibility and duties among all the members of the enterprise. The management has to organize the enterprise by grouping is the activities, So that work is carried out as planned.


[3.]  Staffing :- Staffing is the of function managing and keeping manage the positions provided in  the organization structure.

It's identification of to be filled recruitment and selection, placement of employees at relevant position, training employees mobility performance appraisal and compensation.


                         Hence we can say that staffing is a process of management. in this case "finding the right person, for the right job, having the right qualification and at the right ", it called staffing.



[4.] Directing :- Directing means guiding and supervising the subordinates.

Thus directing process consist of there sub- functions:- 

 (a) Communication :- Communication is a process of Passing information from one persons to another.

(b) Leadership :- Leadership may be defined. process by which a manager guides and influences the work of his subordinates.

(C) Motivation :- Motivation means motivate the subordinates with zeal to do work for the achievement of organizational objectives.

[5.] Controlling :- Controlling is to guide anyone or something in the direction in which it is intended to go. Controlling involves identification of performance results comparing these with deviation between the two and taking necessary the corrective action. If the deviation is beyond the acceptances of level, that is called controlling of management.
